Position Description: The Receptionist is the first point of contact for our staff and guests, and must serve as a champion for the organization at all times. The Receptionist will answer inquiries, provide information to the general public, visitors, and other interested parties, and perform routine front office activities. The Receptionist will collaborate with others while helping to maintain a pleasant reception area. The ideal candidate will be highly organized, flexible, personable, people-centered, patient and able to work with a diverse group of individuals.
The Receptionist will also play a key role in supporting our Individual Giving team by answering, routing, and addressing member calls, and performing administrative tasks to enable the team to function effectively.
Primary Responsibilities: The following primary responsibilities are vital to successfully meeting the expectations of this position in an effective and efficient manner. This is not an exhaustive list and areas of focus may fluctuate, as needed.
Greet all visitors to the company and ensure they are treated in a courteous, enthusiastic, and pro-active manner, and are connected to the correct Nine PBS employee.
Oversee access control into and around the building to maintain a safe environment, including checking in guests and asking their reason and purpose for visiting Nine PBS.
Answer all calls directed to the reception desk that are not dispensed via the automatic attendant feature of the phone system. This would include transferring to correct parties and assisting people with questions about the organization.
Accept and monitor incoming and outgoing courier deliveries, including USPS, Amazon UPS, FedEx etc.
Provide administrative support for the Nine PBS Individual Giving team.
Perform other special administrative projects that support the daily operations of Nine PBS.
Due to the key functions of this position, the Receptionist must maintain dependable work attendance and request time off in advance, outside of unforeseen circumstances and emergencies. Must be available to answer phones and address guest requests at all times when sitting at the front desk, with personal phone calls limited to scheduled lunch breaks.
Qualifications: High school diploma required, with 1-3 years of experience in customer service, business administration, nonprofit organizations, or other related fields. Must have exceptional customer service and communication skills, a professional manner and presentation, and previous experience in administrative support. Microsoft Office, database and internet experience required. Accurate typing and excellent organization skills with attention to detail required.
Hybrid Schedule: Due to the nature of this position, it is not eligible for a hybrid schedule. On-site work is required.
