Title ProcessorACCOUNTABILITY STATEMENT The incumbent is a primary contact to the branches, Contact Center, Lending Services, Member Solutions, Commercial Services, Mortgages, members, dealers, Division of Motor Vehicles and/or appropriate authorities regarding title processing procedures, documentation requirements, compliance, and problem resolution. The incumbent is responsible for recording liens on collateralized loans to secure VyStar's security interest in compliance with the appropriate state or entity law, and VyStar policies and procedures. Responsibilities also include obtaining duplicate titles and documents and request lien satisfactions or title transfers upon contract fulfillment. The incumbent is responsible for releasing liens on paid in full collateral loans. Complete familiarity with the State of Florida notary laws as well as general familiarity with other states and/or entities required. The incumbent must possess a strong knowledge of collateral loan documentation requirements, VyStar policies, procedures, and applicable regulations. Excellent organizational skills and the ability to work well with others are required. ESSENTIAL JOB FUNCTIONS Prepares necessary paperwork for title transfers and processes and records liens as applicable for all collateral securing a consumer loan with a paper or electronic title.. This requires a strong knowledge of legal requirements and procedures for all 50 states plus U.S. territories and in some instances, working with a foreign country's procedures and forms. Processes the applicable Uniform Commercial (UCC) Financing Statement to appropriately secure our lien position or terminate our security interest on non-titled collateral securing a consumer loan. Processes paper lien releases on documented vessels through the U.S. Coast Guard. Receives and performs quality checks on loan documents from the branches, Contact Center, Commercial Services, Indirect Lending, and Lending Services to ensure accuracy and completeness for perfecting our lien position. Refers errors to respective area for corrective action and provides guidance to prevent future errors. Corresponds in writing or verbally with members and/or appropriate individuals/entities to obtain corrected information and documentation when necessary. Orders checks from Accounting Department for title fees on refinances and free-and-clear titles that are to be mailed to the respective DMV for lien record processing. Works with branch, Member Solutions, and Contact Center staff to facilitate resolution of title problems, questions or requests for information and provides guidance to prevent future errors. Handles routine and escalated member problems and complaints with a sense of urgency and uses sound judgment to resolve member and title concerns by responding verbally and/or in writing to effectively communicate documentation requirements and/or action needed for problem title resolution. Works directly with dealerships to resolve title issues verbally and in writing to effectively communicate any errors that need to be resolved. Maintains systems for monitoring of pending titles to ensure timely receipt. Performs file maintenance and sets comments and system flags as needed for title issues. Follows up according to Titles Unit desktop procedures, also using judgment to determine the best course of action for resolution, as the situation may dictate. Responsible for preparing and releasing VyStar's security interest on paper and electronic titles in accordance with appropriate state or entity law upon contract fulfillment. Acts as Notary Public in accordance with laws of State of Florida and verifies appropriate authorization has been performed for documents securing VyStar loans. Works title tracking report that identifies VIN errors and performs corrective action in the consumer loan origination, title tracking and loan servicing systems. Performs quality reviews and processes via title tracking system for standard and expedited paid out title requests. Uses sound judgment to determine risk associated with expediting a lien removal when the source of the funds used to pay off the loan indicates potential additional risk. Primary contact to the branches, Member Solutions, and the Contact Center for all letters of guarantee to appropriate insurance companies. Responsible for generating, tracking and processing all letters of guarantee to appropriate insurance companies. Processes and performs General Ledger transactions to refund lien expense to member when applicable. Monitors General Ledger on a monthly basis to ensure credits and debits are valid and accurate. Any errors identified will be reviewed for resolution and sent to the Accounting Department for completion. When requested, reviews title training information for branch, Contact Center, and Lending Services employees. Monitors requests received from all 50 states for Out of State Title transfers which includes ordering paper titles, sending documentation to the applicable DMV, and subsequent follow up to ensure completion. Monitors report for all incoming electronic titles to verify validity that VyStar Credit Union should be listed as the lienholder on the title received. Monitors all incoming paper titles to verify validity that VyStar Credit Union should have received the paper title from the state. Must be proficient with loan origination, loan servicing and title tracking systems. Knowledge of MeridianLink regarding title related information and form completion retrieval. Complete annual property tax audits within prescribed time guidelines. Assist supervisor with HELOC reviews on as needed basis. Experience & Skills Required: One year to three years of similar or related experience. Education: (1) A two-year college degree, or (2) completion of a specialized certification or licensing, or (3) completion of specialized training courses conducted by vendors, or (4) job-specific skills acquired through an apprenticeship program.
