* Oversees maintenance and upkeep of Guest Houses, including liaising with contractors and meeting them onsite when the President's spouse is unavailable
* Cares for vehicle maintenance by arranging for car service and repairs on President's IWU vehicle
* Runs personal errands and tasks assigned by the President's spouse
* Assist with shopping, from everyday items to gift purchasing for special occasions
* Reconciles IWU credit cards for President, President's spouse, Chief of Staff, and Senior Executive Assistant
* Performs a wide variety of administrative clerical and operational duties including filing, copying, answering phones, greeting visitors, scheduling, and maintaining the office conditions
* Prepares expense requests, reimbursements and vehicle requests as needed
* Prepares, creates and proofreads letters, memos, general correspondence and reports
* Plan and coordinate programs, announcements, brochures and invitations for events with the Marketing department
* Act as a receptionist for the John Wesley Administration Building
* Assist with John Wesley Administration Building responsibilities such as unlocking/ locking of building and conference rooms and placing maintenance orders
* Act as backup to the President's Senior Executive Assistant
* Other responsibilities and duties as assigned

Duties and Responsibilities
This position is primarily responsible to:

Perform miscellaneous assignments such as statistical analyses, surveys, charting, and preparation of announcements, frequently involving creative skills.
Collaborate with staff, faculty, and student teams to coordinate on-campus and off-campus reservations and schedules in implementing large scale events including overnight trips, summer camp, and competitive student events
Assist in analyzing and updating the appropriate sections of the university catalog and updating the master schedule of classes.
Engage in a wide variety of oral and written communications, with both internal and external stakeholders. Proof and process memoranda, letters, reports, proposals, course handouts, exam study guides, etc.-some of which are confidential. Record and archive minutes of department meetings, advisory council meetings, and strategic planning sessions.
Perform department accounting duties, purchase office supplies and equipment, process and prepare purchase requisitions, check requests, expense reimbursements, credit card reconciliation, and invoices for approval and payment. Monitor department accounts including subscriptions, travel funds, deposits for overseas trips, dues for student organizations, petty cash, transfer requests, and copier charges.
Keep a master schedule of annual and special department activities. Initiate activities and assist in managing administrative details. Coordinate details of a variety of major department programs and of periodic special programs.
Participate, as paraprofessional, in faculty/staff meetings and department extra-curricular activities, coordinate with faculty/staff input for necessary paperwork, proctor exams, and collect book lists, syllabi, and schedule cards each semester.
Assist in developing promotional materials and communicating program information to internal and external audiences including social media management, newsletters, and campus announcements.
Assist in paperwork associated with graduate applicants, including transcripts, admissions decision letters, and preparing/distributing welcome boxes.
Oversee daily activities within the department office to ensure excellent hospitality with professionalism, cleanliness, and discretion
