GENERAL PURPOSE: Overall accountability for the operations and maintenance for Fig Garden Village and/or other properties that may be assigned from time to time, in accordance with CenterCal Properties' policies and standards.
SUPERVISES: Maintenance Staff, and various contractors (general contractors, security, janitorial, landscaping, parking lot and grounds maintenance, parking management, mechanical, electrical, plumbers, roofers, and others.)
KEY RESPONSIBILITIES/DUTIES: Responsibilities include but are not limited to:
Responsible for driving and managing all aspects of the aesthetics and operations of the properties and maintaining a consistently high customer experience.
Perform daily inspections of the properties directly and by assigned staff and contractors.
Participate in the planning and implementation of annual property common area maintenance (CAM) budgets and reforecasts and ensure expenses remain within approved budgets.
Participate in developing and managing annual capital budgets and 5-year capital plans.
Oversee the daily operations of Janitorial, Security, Landscaping and all other on-site contractors including conducting walkthroughs and meetings.
Train, schedule, develop and manage all direct reports and contracted services according to CenterCal standards and policies.
Ensure all property construction, repairs, upgrades and the like comply with OSHA and other governmental standards for safety.Create safety procedures and processes.
Direct and administer all property-contracted services and vendor supplies. Ensure all property-wide contracts are current.
Manage, organize and oversee on site equipment and asset inventory. Order property operation's supplies and maintain an inventory of replacement parts.
Prepare RFPs, bid, negotiate and coordinate projects and contracts involving outside contractors or service providers. Must ensure vendors are complying with the scope of work as outlined in the contracts.
Timely implementation of operational capital projects and operational contracts within approved budget amounts.
Conduct operational audits and ensure processes are following corporate policy.
Assist with preparation and management of department budgets including providing input for monthly variances and periodic reforecasting.
Responsible for on-site waste management and recycling program and property level relationships with the waste management contractor.
Responsible for controlling the efficient utilization of common area utilities including electricity, water and gas services.
Responsible for collection and reporting of all tenant utility usage.
Maintain a responsive open line of communication with tenants including handling tenant complaints and operational considerations.
Responsible for managing the fire and life safety systems and programs including compliance with regulatory testing requirements.
Participate in property strategic planning efforts.
Ensure that all employees follow established safety work procedures, take an active part in the development and implementation of the safety program, fully cooperate with the safety program and report both unsafe acts and or conditions to management.
Ensure that all personnel required to operate any CenterCal owned, leased and or rented equipment which requires federal, state or local licensing and or certification are properly licensed and or certified prior to operating any such vehicles and or equipment.
Develop, maintain and plan all training to prepare staff for all emergencies in accordance with Company Crisis Communication policies and procedures.
Create and implement ongoing preventative maintenance programs and continually look for operating efficiencies. Monitor and document tenant compliance with equipment maintenance requirements
Develop and maintain property operations policies and procedures.
Prepare reports and all documentation requested in a timely manner meeting set deadlines.
Create and maintain property operations records and filing system.
Administer all state and federal required reports, safety documentation and maintain OSHA compliance for the Center. OSHA, EPA or other regulatory training is desirable.
Assist marketing team with planning, logistics and set up for all property events.
Communicate and assist with planning responses to City and County personnel regarding annual testing and inspections.
On-call 24/7 for emergencies.
Ability to work a rotating schedule during operating hours of the project including holidays and weekends.
Conduct monthly roof inspections.
Perform minor repairs as needed.
Work with the construction team to ensure a smooth transition from construction to property management. Be knowledgeable of local codes and required permits.

* Conduct regular audits of store paperwork, including bank deposit slips, overages/shortages, etc. and track trends to ensure that cash control procedures are in place and observed.
* Ensure that all stores within their district are aware of company directed Shrink reduction initiatives and comply with Asset Protection programs.
* Coordinate new store openings and existing store remodels, and facilitate the prompt repair of store equipment as required.
* Ensure that all store paperwork is completed accurately and in a timely manner and that all correspondence with Corporate is directed to the proper departments.
* Process and forward documentation to the appropriate department.
* Adhere to and promote through instruction established safety procedures.
* Monitor merchandise levels in all district stores and coordinate the balance of stock between stores to ensure that inventory levels are adequate. Audit quarterly and annual physical inventory counts for accuracy and to detect merchandise allocation problems. Follow-up on Regional Inventory Manager recommendations to ensure appropriate stock levels are maintained.
* Complete semi-annual performance evaluations and annual merit increase recommendations for all Store Managers in a district and submit them to the Regional Manager for approval.
* Ensure employee reviews are administered prior to due dates.
Supervisory Responsibility:
Job duties entail primary responsibility for training and developing Store Managers and store personnel at all levels in the absence of the manager, including assignment delegation, instruction and follow-through. The District General Manager is required to approve performance evaluations for all store employees and to provide guidance in the form of progressive discipline, whenever necessary, in accordance with established procedures. Additionally, it is the responsibility of the District General Manager to communicate all situations and/or conditions that affect the district (i.e., customer complaints/requests, inadequate inventory levels, unemployment hearings, etc.) with the appropriate level of management or department. Work Environment: The District General Manager position requires that quality time be spent traveling between stores, sometimes several hundred miles per week. There may be risk of injury resulting from improper procedures while assisting customers and store personnel.

Position Summary:

Conducts and submits for approval to the General Manager, a monthly variance report that includes: financial statement review, tenant delinquencies, lease move-ins and move-outs, etc. and informs and develops/executes a plan of action to the General Manager of any tenants that have a delinquency of greater than 1 month after the 10th of each month.
Ensures a monthly review with the General Manager and other executives of the posting of the monthly rent roll, monitoring and ensuring that any rental increases outlined in the leases are properly reflected in the monthly posted charges.
Conducts that daily/weekly/monthly site visits are performed on all tenants.
Conducting with the General Manager regular (weekly) meetings with the property management team to ensure that the property is maintained in a best practice and clean workman like manner and that the AGM is properly monitoring and managing the onsite staff. In the meetings, the AGM will review key metric measurements with the General Manager such as the work order response time and customer satisfaction reports. These meetings will also cover property management's site visit reports and follow-up action items that need to be completed and subsequently ensure that all these items have been completed and documented.
