Process and track client billable expenses by ensuring vendor invoices are reviewed for accuracy, approved by the attorney/paralegal, and paid in a timely manner, while coordinating billing processes to maintain account balances. Track and process attorney reimbursements and firm credit card charges/receipts. Monitor matter balances and take proactive steps to ensure accurate billing processes, acting as liaison between clients, attorneys, paralegals, and billing staff as needed. Close files at completion - confirm completion of outstanding time and expense entries, scan and/or save all docs in workspace, review and resolve open balances, remaining trust funds, etc. Assist in obtaining and compiling case-related documentation, reports, and billing summaries. Maintain case files, ensuring all relevant documents, pleadings, and correspondence are saved and organized daily. Provide support in monitoring and tracking case progress, deadlines, procedural requirements, and internal firm protocols to ensure timely action. File documents with federal and state courts. Draft, proofread, and format legal documents. Accurately and efficiently transcribe dictated materials. Track CLE requirements for attorneys. Qualifications - Education, Experience & Skills: Minimum of 2 years of experience as a legal assistant. Experience with estate planning and probate a plus. Strong knowledge of state court procedures and e-filing systems. Proficiency in Microsoft Office, case management software, and legal research tools. Excellent written and verbal communication skills. High level of attention to detail and ability to prioritize multiple tasks. Strong organizational and time management skills.
