The New York City Office of medium sized, regional, full-service law firm is looking for a Patent Prosecution Legal Assistant. This is a great oppoortunity to be an integral part of a busy and collegial team.
Key Duties/Responsibilities:
Prepare documents from forms/templates and based on client-provided and attorney-provided materials, including preparing patent and trademark application documents for filing.
Organize and upload documents for e-filing with various patent & trademark offices.
Review Office Actions and other communications from patent & trademark offices and prepare response templates for attorney completion.
Correspond with clients regarding the status of applications and other matters.
Coordinate the transmittal of documents needing signatures (i.e., declarations and assignments).
Monitor attorney dockets for approaching due dates.
Work closely with the docketing staff and office services to ensure all dates are docketed.
Maintain precise follow-ups and reminders.
Prepare Information Disclosure Statements (IDS) for filing with the United States Patent and Trademark Office, including obtaining copies of patents and articles for submitting with IDSs.
Prepare legal documents, correspondence, and other materials related to firm business.
Review all incoming mail, faxes or deliveries, and route appropriately or act upon in a timely manner.
Complete time records and billing in a timely manner. Maintain calendars and to-do lists.
Establish and maintain official documents, records, and related materials in appropriate files.
May be asked to set up and/or attend meetings, take notes, witness activities, or provide information.
Answer calls, assist clients when necessary, and take and return messages in a timely manner.
Perform related work as delegated by another attorney or member of management, including (but not limited to) alternate coverage for attorneys and reception. May be asked to become involved in special projects within the scope of the Firm's business.
Responsible for role as team player. All Legal Assistants are assigned to teams with other Legal Assistants located in their immediate areas. A Legal Assistant may be asked to perform some, or all the above responsibilities for any attorney.
Qualifications:
At least 3-4+ years of experience as a Patent Prosecution Legal Assistant
Bachelor's Degree
Must be open to hybrid schedule as well as overtime when needed
Trademark experience is a plus, not required

Responsibilities:
Prepare, proofread, format, and redact legal documents, including exhibits.
Assist with court filings and ensure full compliance with court rules and procedures.
Electronically file legal documents through appropriate court systems.
Open and manage new legal matters efficiently.
Organize, maintain, and properly index case files both digitally and in the physical file room.
Retrieve legal decisions and case law via Westlaw or LexisNexis.
Draft cover letters for attorney billing and client correspondence.
Input billing details into the firm's billing software.
Schedule and coordinate depositions, client meetings, and conferences; manage attorney calendars accordingly.
Process third-party vendor invoices, request checks, and coordinate with the accounting department.
Qualifications:
At least 3 years of litigation support experience.
Strong understanding of litigation procedures, e-filing systems, and formatting tables of authorities.
Familiarity with New York and Federal court procedures and rules.
Proven ability to work collaboratively in a team environment while supporting multiple attorneys.
Eagerness to take initiative and handle a diverse range of responsibilities.
Excellent organizational skills and ability to manage multiple priorities in a fast-paced environment.
Proficient in Microsoft Office Suite
