Payroll Coordinator

Responsible for processing semi-monthly payroll. This includes, but is not limited to, calculating wage garnishments, preparing checks and working with local HR contacts with both US and Canadian payrolls.
ESSENTIAL FUNCTIONS:
Perform all payroll related functions for multi-state, multi-company semi-monthly payroll using PeopleSoft software including overtime calculation, gross ups, charity deductions, bonus payments
Manage workflow to ensure all payroll transactions are processed accurately and timely
Audit incoming paperwork for authorized approvals and verify accuracy of local office data entry for assigned agencies
Preform second audit of payroll data entry/approvals completed by peer Payroll Coordinator agencies
Input off-cycle payments as necessary
Support local office payroll and HR departments by responding to questions or inquiries
Assist with check and direct deposit advice printing and mailing
Set up garnishments and wage assignments as mandated by state and federal laws
Process leaves of absence and ensure accuracy of data from 3
rd
party vendor
Maintain payroll files and furnish payroll information as required to internal and external sources.
Possibly some overtime required twice a month
Regular and reliable attendance required
Ability to work onsite in an office environment with limited remote work alternatives, consistent with applicable law
Work with ADP to process semi/monthly payroll in Canada.
EDUCATION, SKILLS AND EXPERIENCE REQUIREMENTS:
High School diploma or equivalent
Excellent computer skills and 10-key proficiency
A minimum of 3-5 years' experience in similar role
Experience processing for around 3,500 employees preferred
Knowledge of federal and state laws and regulations regarding garnishments
Consistent and maintained accuracy required
Strong organizational, analytical, and problem solving skills
Excellent written and verbal communication skills
Workday payroll experience a plus
PeopleSoft payroll expertise a plus
Canadian/ADP payroll expertise a plus
Proficiency in Word and Excel
Data entry speed of at least 40-45 wpm

Reporting directly to the Real Estate Accounting Supervisor, this position requires a high degree of confidentiality and flexibility, as well as the ability to prioritize and initiate work independently. ESSENTIAL FUNCTIONS:
Responsible for reviewing, verifying and interpreting executed lease agreements, managing all invoicing of tenants, affiliates, subtenants and vendors.
Confirms accuracy of new or amended license information abstracted into the real estate database.
Executes lease administration procedures including but not limited to: processing new vendor agreements, analysis and verification of all account coding with tenant/affiliates, preparing journal entries as needed and ensuring certificate of insurance is current and compliant with sublease.
Identifies monthly payables through the analysis and review of executed lease agreements, working independently to resolve any discrepancies, and analyzing and reporting any variances.
Determines recurring monthly amounts billable to affiliate licensees or third party subtenants and communicates such billable amounts to Shared Services billing department.
Reviews and verifies miscellaneous charges (such as work orders and utility bills) submitted by the landlords or property managers for payment. Codes and processes invoices and initiates chargeback to licensees and/or subtenants as necessary, via journal entry or coordination with the billing department. Must work independently to resolve any billing disputes with licensees or subtenants.
Reconciles operating, utility and real estate tax statements for all leases and sub-leases ensuring compliance with lease terms. Calculates and manages any chargeback allocations and reconciles intercompany statements between Shared Services and affiliates.
Verifies and codes any incoming checks from subtenants, or refunds from Landlords and contacts subtenants regarding any past due accounts and prepares monthly accounts receivable aging analysis.
Generates monthly intercompany summary rent statements to IPG affiliates and prepares monthly intercompany remittance forms, working independently with affiliates to resolve any issues or answer requests for additional information.

Ability to work Hybrid schedule, with onsite in an office environment and remote work
EDUCATION, SKILLS AND EXPERIENCE REQUIREMENTS:
2-3 years related experience, accounting preferred
BS Degree in Real Estate or Accounting/Business or equivalent work experience, lease administration, accounts payable experience helpful
Must have ability to communicate effectively, both orally and in writing with the ability to organize resources and establish priorities
Must have ability to read and understand the English language including lease agreements
Ability to work independently while completing high quality work with conflicting deadlines and priorities

Patrols grounds daily for the removal of litter and clean entryways and stairwells, paying special attention to pool areas, areas in front of the leasing office, models, and mail areas, and report repairs needed to the Leasing Office/work order.
Handles all chemicals, including pool chemicals (if applicable), safely and responsibly
Performs trash-out duties in vacated apartments as requested. Removes all abandoned furniture, trash, and boxes. Transfers to dumpster or storage area, whichever is applicable
Sweeps and blows off all sidewalks, walkways, parking areas, garages, and dumpster areas using a leaf blower, or power-washer
Cleans vacant long-standing units and property signage
Promote positive, proactive resident relations by demonstrating fair, and consistent treatment during all resident interactions.
Other tasks as assigned by Community Manager or Regional Manager
Must possess knowledge and skills in the safe use and maintenance of power tools and mechanical equipment
Ability to interact professionally with community residents, staff members, and visitors

Follows procedures for accessing and obtaining materials, supplies, equipment, tools, and other items from the property's maintenance department by tracking inventory used, returning unused items to the established location, and notifying the maintenance supervisor about re-ordering needs.
Experience and knowledge of plumbing, HVAC, and appliance repair
Employees must supply their own hand tools and possess knowledge and skills in the safe use and maintenance of hand tools, power tools, mechanical equipment and measuring devices.
Superior customer service, attention to detail, and time management skills
Dynamic self-starter who enjoys working with others and excels in a faced paced team-oriented environment

This role within the master data group will be the subject matter experts leveraging their knowledge to provide training, guidance and support on master data sets across multiple systems. They will be responsible for all creation and maintenance activities within the Master Data team. They will be tasked with executing Master Data maintenance activities within documented service level agreement timeframes following defined business controls while maintaining the highest degree of accuracy.
ESSENTIAL FUNCTIONS:
Coordinates and performs assigned day to day tasks for the creation, maintenance and data quality of master data including customer, vendor, employee, material and profile records while verifying input accuracy in accordance with written and controlled procedures
Creates, maintains and verifies all global intercompany customers and vendor records, as well as global employee grades
Audit and verify incoming information to ensure accuracy and completeness prior to processing into production systems while tracking and maintaining all backup copies in an organized fashion
Analyzes, monitors and answers email questions that come through the group inbox and shares responsibility with team members for problem resolution
Create and maintain documentation of Master Data processes for all systems
Assist with training of new employees
Interacts with various agencies, vendors and other internal departments on a regular basis
Reports on monthly key metrics
Analyzes and applies appropriate data review processes to audit and cleanse master data sets including duplicate records and compliance with naming and address standards
Assist with vendor diversity reporting
Assist with yearly IRS reporting for 1099's and 1042's

Responsibilities include patrolling of grounds daily to detect maintenance problems that require attention, daily removal of litter, sweeping and blowing off sidewalks, walkways, parking areas, garages and dumpster areas, ensuring the upkeep of common areas and amenities, and performing additional tasks as assigned by the property management team The ideal candidate will take pride in creating a well-maintained and welcoming environment for residents and visitors.

As our chosen Floating Leasing Consultant, everyday you will assist in all aspects of leasing including, but not limited to; touring, accepting and processing applications, phones, call backs and thank you cards. Foster a positive, active and collaborative relationship with residents, communities and associated agencies. Accept and complete Notice to Vacate forms. Prepare correspondence such as rent charges, eviction notices, collections, etc. Complete tenant move-ins and move-outs in compliance with all company procedures. Perform other duties as assigned by the Community Manager. The Floating Leasing Consultant position will work from any one of our properties in the Gresham, Fairview and Portland areas as needed.
To thrive in this role:
Previous experience in multi-family leasing
Strong interpersonal and communication skills
Skilled at time management and attention to detail
Ability to mediate dispute and resolve tenant concerns efficiently
Proficient in computer skills (excel/word/outlook)
Excellent verbal and written communication skills
Superior customer service skills
A valid driver's license
A team player
