The Centralized Maintenance Foreman provides appropriate repair and maintenance services to HeartShare facilities, ensuring that the interior and exterior of HeartShare facilities are hazard-free, warm and welcoming, and maintained at a high level. Maintenance Foreman ensure proper security and upkeep of HeartShare vehicles, petty cash, phones, tools, and materials for use in the maintenance of facilities.
Maintenance Foreman have the primary responsibility for the safekeeping, recordkeeping, and reconciliation of agency petty cash, agency vehicle custodian responsibilities, safekeeping of agency assets, such as tools, and the purchasing of materials for assigned work order from hardware store vendors. Maintenance Foreman recommend facility maintenance to the Assistant Director of Facilities - Field Operations as required and report dangerous conditions.
Primary Responsibilities and Essential Functions of the Position
In addition to the responsibilities below, performs all other duties as assigned.

Facilities Repairs, Service, and Compliance:
Execute daily assigned work orders as prioritized by the Assistant Director of Facilities - Field Operations.
Work within a team or as an individual on job sites, taking lead on assigned work orders, purchasing materials and planning execution of the scope of work.
Meet contractors and vendors onsite to ensure work completion.
Safety and Emergency Response:
Provides first line 24-hour response to emergency repairs at all physical plant locations as needed coordinating facility-related emergencies, working closely with relevant teams and authorities.
Maintain cell phone contact on evenings and weekends, as needed for emergency response.
Ensure physical plant safety protocols to safeguard the well-being of residents, program participants, staff, and visitors.
Follows all Blood-borne Pathogen Control standards (gloves, masks, proper hand washing, etc.) at all times, without exception.
Utilize proper Personal Protective Equipment (PPE).
Participate in all Professional Development Trainings.
Obtain OSHA 10 hour within 6 months and OSHA approved PPE training with 3 months.
Preventative Maintenance:
In conjunction with the Assistant Director of Facilities - Field Operations recommend proactive preventative maintenance issues in a timely and effective manner.
Report issues in the upkeep of equipment, systems, and structures to help prevent potential issues.
Repairs and Maintenance:
Maintain and repair residence interiors, ensuring hazard prevention and compliance with applicable regulations and codes, including but not limited to: handyman duties, tile installation and repair, floorcare, toilet repair, drain repair and snaking, plumbing repairs, electrical repairs and improvements, carpentry and painting, moving and assembling furniture, garbage removal, HVAC repair, lock repair, plaster repair, sheetrock install and repair, cabinet repair and replacement, and other duties as assigned.
Maintains and repairs residence exteriors and grounds ensuring hazard prevention and well-kept appearance as required including, but not limited to landscaping, snow removal, painting, gutter cleaning, carpentry, basic masonry, siding repair, and other duties as assigned.
Agency Vehicles, Driving Responsibilities and Custodian Responsibilities:
Provide care and upkeep to assigned equipment vehicles; ensuring that they are free of hazardous conditions, always maintaining them in a secure and protected location and in good condition.
All HeartShare staff using agency owned/leased vehicles must always drive in a safe manner and follow all applicable state and city motor vehicle laws.
Attend Driver Training classes, as required.
Be aware of and abide by all agency vehicle-related policies
Ensure that parking tickets received on agency vehicles are submitted to supervisor for prompt payment.
Persistent violations will result in Performance Discussions and possible disciplinary actions.
Maintain Vehicle Logs.
Schedule and coordinate vehicle maintenance/service needs in accordance with manufacturer/lease recommendation.
Ensure a copy of vehicle registration, insurance and inspection documents are always in the vehicle.
HeartShare Tool care:
Provide care and upkeep of assigned tools.
Maintain equipment and tool inventory.
Ensure daily proper safe storage of tools and equipment.
Automated Facilities Management:
Utilize an automated facilities management system (TheWorxHub) to manage work requests, track maintenance tasks, and log preventative maintenance needs through scheduled work orders.
Ensure that if no approved work order is issued that work does not commence, with the exception of emergency situations.
Record work order progress in TheWorxHub system on assigned work order requests, maintenance and completions as required by submitting detailed descriptions and photos; including routine maintenance schedules, and project progress reports.
Collaboration and Communication:
Maintain clear communication with staff, residents, and external stakeholders regarding facility matters.
Communicate with agency Maintenance teams, fostering a collaborative and efficient team environment.
Assign tasks to Maintenance Worker.
Petty Cash:
Handle funds provided and returned receipts for monies given for supplies and items needed for the Centralized Maintenance
Department in a timely manner for prompt reconciliation and replenishment.
Provide detailed accountability of all petty cash received; must retain all dated, itemized receipts for monies spent.

Minimum of 5-7 years of maintenance experience with increasing responsibilities, ideally in a nonprofit or
healthcare setting.
A valid NYS driver's license is required.
Thorough knowledge of Handyman Duties, basic plumbing, basic carpentry, basic electrical, building codes,
knowledge of regulations, and safety standards for ADA, DEP, DOB, OPWDD, OFPC, etc.

Work alongside and leading crews in a safe manner following all OSHA and company safety practices
Continually monitor job site for safety related issues
Manage and operate the equipment utilized daily on the job site
Manage crew to optimize production and profitability while maintaining a safe environment
Responsible for all documentation. Examples of paperwork required would be: worksheets or daily job reports, tailgate safety briefings, waste manifests and daily reports
Secure worksite at the end of each shift to ensure public safety and security of equipment and materials
Ensure all tools and equipment are cleaned and returned in proper working order at the end of each project
Must be able to follow and manage a project from start to finish
On-site customer service
Qualification/Requirements:
Minimum 3 years experience in Industrial cleaning, utility or environmental construction, with 1+ years supervising crews.
Basic computer skills including knowledge of Microsoft Word, Excel (entering notes, and photo upload)
Knowledge of Machines, Tools, Equipment and Work Aids: Jack Hammers, Vacuum Trucks, Roll-off Trucks, Guzzler/ Vactors, Oil/ Water Pumps, Air Ventilator, Gas Monitors, High-Pressure Hot Water Washers, Basic Hand Tools, etc.
Ability to effectively coordinate with personnel and clients
Ability to multi-task while paying close attention to detail
Ability to work under pressure and time sensitive deadlines
Detail-oriented, creative, proactive and persistent.
Chemical handling and air monitoring equipment experience is a plus
Travel is required
Education/Training/Experience:
High School Diploma or GED, B.S. preferred with
Transferable skills and experience/education in the environmental industry are required

The work is primarily performed in the field, outdoors in the heat or cold for 8-12 hours per day. The noise level in the work environment is moderate to loud.
To reduce exposure to harmful materials, workers often wear coveralls, gloves, shoe covers, safety glasses, or goggles. Some must wear fully enclosed protective suits for several hours at a time; these suits may be hot and uncomfortable and may cause the workers who wear them to experience claustrophobia (fear of enclosed spaces). In extremely toxic cleanups, hazmat workers are required to wear respirators or personal air monitors.
