Position:
We are seeking a talented Sales and Events Coordinator to join our team!
This position contributes to the success of The Resort at Paws Up by assisting the Group Sales Team in managing client databases and communications, and by supporting the Events Team in organizing and coordinating group and special events. The role requires consistently providing the highest level of guest service and accuracy while maintaining client files, in-house reporting, booking clients into our systems, and managing invoices and accounting. The coordinator ensures that all group bookings and special events are handled and processed efficiently, timely, and accurately through consistent interactions with clients, vendors, guests, and the Sales & Operational Departments. Assisting with events as needed is also a key part of this role.

Primary Responsibilities:
Note: the following duties and responsibilities are not all-inclusive
Assist group sales with Salesforce data management, including accurate entry of new clients, creating campaigns, managing the existing group sales database, and updating contact information.
Create reservations and itineraries for sales site visits.
Process group contract turnovers and turnover checklist to ensure consistency, setting up Conference Service and Operations teams for success.
Utilize Maestro to create, manage, and monitor all group reservations. Ensure all reservations have correct billing, and all other necessary information.
Create invoices and process advance deposits according to contract deadlines.
Ensure accurate commissions are issued to Accounting and any applicable Pick-Up Reports are created at the end of a group program.
Create and manage group hold reservations as requested by the Sales Team and produce a weekly holds report reflecting all group rooms pending.
Understand sales contracts to ensure deadlines, rates, deposits, and inventory are properly reflected in group reservations, group resumes, banquet event orders, and other internal communications pertaining to the group.
Manage meeting planner adherence to contracted rooming list and deposit deadlines.
Collect and input all necessary guest information from clients for the rooming list, including contact information, dietary restrictions/allergies, airport transfers, etc.
Communicate any requested changes and updates to necessary departments during the planning process, including room block changes, guest cancellation, flight updates, etc.
Participate in group pre-conference meetings with resort staff and meeting planners.
Assist sales team with replying to initial sales inquiries as needed.
Provide professional follow-up on behalf of sales manager for clients met during in-market sales efforts as needed.
Conduct property tours when needed.
Perform other duties as assigned.
Looking for team members with:
Two+ years of experience as an event coordinator or relevant hospitality experience preferred.
High School Diploma.
Proficient ability to multi-task and work on complex problems with general direction in a fast-paced environment while remaining organized and prioritizing workload throughout the day.
Superior organizational skill, detail-oriented and reliable with good time-management.
Ability to understand and follow written or verbal instructions.
Able to work well individually and as a team.
Proficient in Microsoft applications such as Word, Excel, Outlook, and a CRM System (Salesforce) preferred.
At all times, maintain the highest standards of professionalismand friendliness, even under high demand with guest, team members, and management.
Valid State Driver's License with good driving record.
Prolonged periods of sitting at a desk and working on a computer.
Must be able to lift up to 50lbs at a time.
Availability on weekends.

PRINCIPLE RESPONSIBILITIES AND POSITION PURPOSE:
To present a positive first impression of friendliness, excellent service, and high standards. To greet all guests upon arrival and departure with a smile and bid guest farewell as they leave. Remember you are the first and last impression.
MAIN DUTIES AND RESPONSIBILITIES:
Maintain a cheerful, courteous disposition and a neat, clean, and professional image.
Welcome guests upon arrival.
Escort guest as soon as possible to appropriate table.
Maintain a professional working relationship with employees and guests.
Maintain host/hostess area/foyer clean/free of clutter.
Enthusiastically engages guests upon arrival.
Designates table assignments.
Escorts guest to assigned table. Make the guest feel welcome, maybe engage in a brief conversation. Do Not rush the guest and Do Not walk too fast for the guest.
When seating the table pull the chairs out for ladies and hand the menus to the guest. Do not place the menu on the table or the chair.
Remember it is your job to control the flow of the bar area. Keep calm and notify the Manager if anything should arise.
Notifies manager of unhappy guests.
Inspects restrooms for cleanliness and calls the front desk for cleaning.
Bids farewell to departing guests.
Performs assigned side work duties.
Assists mangers as directed.
SPECIFIC JOB KNOWLEDGE, SKILLS, AND ABILITY
Requirements:
Stands/walks during 6-to-8-hour shift.
Able to hear guest order and requests amidst loud, background noise.
Maintain expected level of personal appearance and hygiene consistent with Tiki Bar image for FOH employees working in full view of the guest. Neat clean and well groomed. Men should be neatly shaven and hair well-groomed and out of face. Women should have long hair pulled back and nails should be neatly trimmed and clean.
May be required to assist service staff during peak periods, watering tables, clearing, and resetting tables if need be
Able to manage unsatisfactory guest experience.
Training will be overseen by a Certified Trainer, and Manager.
Evaluations and testing of knowledge acquired will be completed during the training process.

Job Summary
A host/hostess greets customers as they enter a restaurant, takes their reservation or puts them on a waiting list, gives them menus, and escorts them to their seat. They also handle phone calls and customer queries about the restaurant and menu and assist various restaurant staff when necessary. Primary Responsibilities:

Assist group sales with Salesforce data management, including accurate entry of new clients, creating campaigns, managing the existing group sales database, and updating contact information.
Create reservations and itineraries for sales site visits.
Process group contract turnovers and turnover checklist to ensure consistency, setting up Conference Service and Operations teams for success.
Utilize Maestro to create, manage, and monitor all group reservations. Ensure all reservations have correct billing, and all other necessary information.
Create invoices and process advance deposits according to contract deadlines.
Ensure accurate commissions are issued to Accounting and any applicable Pick-Up Reports are created at the end of a group program.
Create and manage group hold reservations as requested by the Sales Team and produce a weekly holds report reflecting all group rooms pending.
Understand sales contracts to ensure deadlines, rates, deposits, and inventory are properly reflected in group reservations, group resumes, banquet event orders, and other internal communications pertaining to the group.
Manage meeting planner adherence to contracted rooming list and deposit deadlines.
Collect and input all necessary guest information from clients for the rooming list, including contact information, dietary restrictions/allergies, airport transfers, etc.
Communicate any requested changes and updates to necessary departments during the planning process, including room block changes, guest cancellation, flight updates, etc.
Participate in group pre-conference meetings with resort staff and meeting planners.
Assist sales team with replying to initial sales inquiries as needed.
Provide professional follow-up on behalf of sales manager for clients met during in-market sales efforts as needed.
Conduct property tours when needed.
Perform other duties as assigned.

Two+ years of experience as an event coordinator or relevant hospitality experience preferred.
High School Diploma.
Proficient ability to multi-task and work on complex problems with general direction in a fast-paced environment while remaining organized and prioritizing workload throughout the day.
Superior organizational skill, detail-oriented and reliable with good time-management.
Ability to understand and follow written or verbal instructions.
Able to work well individually and as a team.

Lead Host/Hostess
SUMMARY
The Lead Host/Hostess is responsible for the positive experience of guests while waiting for their table while maintaining the quality standards. This position is responsible for the supervision of other host/hostess and ensuring that guest reservations are made properly with excellent customer service.
ESSENTIAL FUNCTIONS
Major areas of responsibility/ management include, but are not limited to:
Control the flow of restaurant activity in the room by seating guests in proper station rotation while maintaining guest reservation lists and following and enforcing all restaurant standards.
Greet guests in a professional and warm manner.
Inform guests of daily resort activities and be able to “sell” the resort.
Meet all phone etiquette standards.
Assign opening and/or closing duties as well as side duties.
Supervise host side work and ensure complete list of set up of all stations.
Ensure correct number of menu's are ready and available for each station prior to start of the shift.
Oversee reservations in OpenTable, take incoming phone calls, note reservations and special requests by guests.
Lead by example; support the department operation and provide direct service to guests as needed.
Maintain and strictly abide by federal and state sanitation/health regulations and company policies at all times.
Collaborate with the Food & Beverage management team to drive outstanding results and create an exceptional working environment
QUALIFICATIONS
High school or equivalent education
Minimum of two (2) years' host/hostess experience
Advanced skills in Word, Excel, PowerPoint, Micros, OpenTable and Outlook; daily use of nearly all programs will occur
PREFERRED
Luxury hotel experience strongly preferred
Bachelor's Degree
PHYSICAL REQUIREMENTS
Position requires walking and standing most of the working day; must be able to stand and exert well-paced mobility for up to 8 hours in length. Must be able to bend, stoop, squat and stretch to fulfill tasks. Requires manual dexterity, grasping, writing, standing, sitting, walking, repetitive motions, bending, and climbing. Talking and hearing occur continuously in the process of communicating with guests, supervisors and subordinates. Must be able to lift up to 25 lbs. on a regular and continuing basis. Must be able to lift trays of food or food items weighing up to 40 lbs. frequently. Must be able to push and pull carts and equipment weighing up to 250 lbs. occasionally. Vision occurs continuously with the most common visual functions being those of near and color vision and depth perception.
