Job Description:
This position is responsible for analyzing and planning a center's daily package dispatch to ensure timely and efficient dispatch service performance. He/She analyzes previous dispatch results to maximize service performance and to streamline routes. This position has primary responsibility for managing the center's dispatch systems and processes. He/She reviews data (e.g., stop and volume trends, missed pieces, cost per piece, etc.) to identify dispatch trends and uses these trends to create plans that maximize results. This position records route modifications, such as new streets and customers, to keep plans up-to-date and oversees load modifications to improve service and reduce costs. He/She also develops, updates and monitors dispatch processes and plans using trend and production report data to adjust routes and evenly distribute work. This position works to improve dispatch operations by promoting the implementation of new technology and monitoring dispatch planning system functionality. He/She directly supervises Part-time Dispatch Supervisors.
Responsibilities:
Analyzes the previous day's production reports and weekly trends to incorporate improvements into future plans.
Determines employee training needs to produce continuous development plans.
Provides feedback and support.
Conducts performance evaluations and resolve individual and group performance issues.
Supports a collaborative work environment through continuous communication and relationship building.

Responsibilities:
Directs and monitors daily assignments; schedules drivers, bus assistants, and assigns vehicles to ensure daily coverage of all routes, field trips, and charter work.
Ensures direct and indirect daily activities of drivers and bus assistants are assigned and accomplished on-time.
Communicates all relevant details of driving assignments to drivers to ensure proper execution.

Maintains route documentation and records (relevant contract requirements, school information, student data, route changes, relevant maps, vehicle details, bus assignments, driver details) for the purpose of providing accurate and reliable information to customers and complies with district and state requirements.
Coordinates vehicle service and mechanical repairs with Maintenance Supervisor to assure uninterrupted service delivery.
Maintains high compliance to dispatch standard operating procedures.
Handles customer concerns and requests for information in an expeditious and professional manner.
Escalates unresolved issues to management as appropriate.
Exhibits the highest ethical best practices and personal integrity; Shares concerns about suspicious or inappropriate behavior with their supervisor or manager

Supervises Heavy Haul Driver's and Coordinator to approve driver schedules, timekeeping, and expense reports.
Schedules trucks and drivers for pickup and delivery of equipment based on priority. Assigns machine(s) to appropriate truck and assigns route to drivers. Maximizes revenue through efficiency of scheduling. Obtains permits as necessary.
Schedules third-party transport when Heavy Haul trucks are at capacity.
Schedules and coordinates Route Haul trucks to ensure maximum efficiency and on-time deliveries.
Notifies customers of pickup and delivery schedule and provides updates as needed.
Sets billing rate. Negotiates price and service issues for all modes of transport.
Invoices customer for Heavy Haul services. Codes incoming invoices for payment and forwards to A/P for payment.
Obtains and regulates fuel and trip reports.
Schedules trucks for routine maintenance and repair.
Works closely with Fleet Manager to ensure timely roll out schedule and appropriate truck and trailer specifications.
Performs employee evaluations with oversight from Heavy Haul Manager.
Maintains driver schedules in alignment with Western States' driver safety standards and DOT regulations, including hours of service.
Serves as Subject Matter Expert in the ongoing development of Dispatch Manager and Heavy Haul Dashboard.
Adheres to all customer care standards.
May accomplish training and serve as a team member in support of Western States' strategic programs, projects, and initiatives.
Performs other duties as assigned.
KNOWLEDGE SKILLS AND ABILITIES:
Working knowledge of Caterpillar equipment and diesel trucks and trailers.
Proven skills in written and verbal communications, planning, organizing, leadership and interpersonal relationship building.
Knowledge of DOT legal requirements.
Working knowledge of permitting and scheduling process.
Ability to organize and multi-task.

EDUCATION AND EXPERIENCE:
Proof of high school diploma or General Education Degree (GED).

PHYSICAL CHARACTERISTICS:
Must be able to sit for long periods of time along with walking, standing, climbing stairs, reaching pushing, pulling, leaning and twisting.

Summary:
The Dispatcher is to manage and coordinate the schedules to insure full coverage at all times in freight executions with an emphasis on generating maximum revenue in deliveries of commodities and/or manufactured agricultural products to our customer base. The successful Dispatcher will also incorporate the JDH Culture in his/her daily routine while recruiting and dispatching Outside Haulers (OSH) to execute loads as needed.
Essential Duties and Responsibilities:
Coordinate delivery schedules according to such factors as truck capacity, least cost mileage, and loading/unloading times.
