Key Responsibilities: · Serve as the primary point of contact with all vendors regarding inventory levels, shipments, and updates. · Monitor stock levels across all warehouses, leveraging demand forecasts to maintain proper inventory levels. · Knowledge in using Oracle/NetSuite inventory management tools to streamline operations and ensure data accuracy. · Collaborate with the CFO to create and process purchase orders (POs), including developing standardized templates and maintaining backups. · Coordinate weekly shipment schedules for POs and maintain a shipping date calendar for all orders and warehouse containers. · Communicate with vendors to confirm shipping dates for all POs and provide updates to customer service representatives (CSRs) on container shipments. · Partner with the Logistics Manager to verify shipping dates, track estimated arrival times (ETAs), and address any delays. · Notify sales team and CSRs of potential container delays to keep them informed of delivery schedules. · Oversee the creation and management of new inventory items in Oracle/NetSuite systems, ensuring item specifications are finalized and processes are established for updating warehouses about changes. · Coordinate with CSRs regarding returned inventory and ensure proper handling and documentation. · Review and reconcile vendor and warehouse invoices to ensure accuracy and alignment with the accounting system. · Maintain and reflect real-time inventory and operational data. · Assist the CFO with special projects, contributing to strategic decision-making and process improvements. Qualifications: · Education: Bachelor's degree in business administration or a related field. · Experience: 2-5 years in supply chain or logistics roles, preferably in ERP systems such as Oracle/NetSuite, and experience in the food industry. Preferred Qualifications: · Familiarity with warehouse operations and logistics planning. · Experience in the distribution and retail industry, with a focus on food products. · Fluency in Italian (written and spoken) preferred. Skills: · Strong understanding of inventory management and demand forecasting. · Proficiency in creating and managing POs, shipment schedules, and inventory databases. · Exceptional organizational and problem-solving skills. · Effective communication and vendor relationship management abilities. · Experience with invoice review and reconciliation processes.
