Based in our downtown Chicago headquarters, an Account Service Associate will work closely with the firm's Wealth Management Team ensuring the seamless onboarding of new clients and maintaining data integrity within our systems. The Account Service Associate will handle the processing of all new account paperwork across three custodians-Schwab, Fidelity, and Pershing - and ensure CRM data is accurate, up-to-date, and compliant. A successful candidate must be versatile in their skill set to understand both a given task as well as what is needed to achieve a satisfactory outcome. SPECIFIC JOB RESPONSIBILITIES
Process and open all new client accounts by preparing, reviewing, and submitting required paperwork through three custodians: Schwab, Fidelity, and Pershing.
Ensure that all account documents are completed accurately and meet compliance standards.
Address and resolve account opening issues, such as non-standard cases or missing documentation, in a timely manner.
Collaborate with financial advisors, client service associates, and custodians to resolve discrepancies or questions regarding account setup.
Communicate with Wealth Management Team to clarify information and provide updates on the onboarding process.
Ensure the accuracy and completeness of client records within the CRM system.
Regularly audit CRM data to identify and correct errors, inconsistencies, or outdated information.
Maintain and update client profiles with key information, including contact details, account statuses, and preferences.
Track and document onboarding progress in the CRM, ensuring all tasks are logged and deadlines are met.
Coordinate with other teams to ensure consistency and alignment of client data across platforms.
Develop and maintain best practices for CRM data entry, reporting, and utilization.
Ensure strict confidentiality of client, firm, and employee information.
Assist New Accounts Manager in onboarding projects related to mergers & acquisitions
Work with New Accounts Manager to analyze and enhance the client on-boarding experience for clients and internally
Work with the New Accounts Manager on updating training materials to ensure they remain current and up to date
Assistance on other ad-hoc operational tasks as systems and processes evolve
PREFERRED SKILLS & EXPERIENCE
Bachelor's Degree with a minimum of 3-5 years administrative experience in financial services, or 8+ years of relevant work experience
Strong attention to detail and a commitment to accuracy.
Experience with financial account opening processes and familiarity with custodians, specifically as Schwab, Fidelity and Pershing.
Proficiency in CRM systems (e.g., Dynamics 365, Sales Force or other financial industry-specific platforms).
Excellent communication skills, both written and verbal.
Strong organizational and time-management abilities to handle multiple tasks and deadlines
Problem-solving skills to troubleshoot and resolve account or data issues efficiently.
Ability to work both independently and collaboratively in a fast-paced environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Perform daily branch responsibilities and tasks such as account transactions, account maintenance, customer correspondence, balancing consistently, balance and monitor cash items, order and prepare cash shipments, and collection items.
May perform duties to include cross-selling additional bank products, along with knowledge of opening and closing accounts, servicing customers, processing stop payments, wire transfers, telephone transfers, placing check orders, processing special instructions on accounts and performing general file maintenance.

Provide exceptional service delivery to our internal and external customers to resolve account service issues and respond to customer inquiries promptly and effectively.

Energetically greet and interact with clients on the bank floor to proactively identify and address client sales and service needs; appropriately convert service requests into sales or referrals
Required to approach and engage clients in the branch lobby to demonstrate expertise in digital capabilities and to identify the financial needs of the clients. May require standing 60-70% of the work day
Ability to use the various marketing tools and digital technology available in the branch to present product offers and financial solutions to existing and potential clients (e.g. sales wall, tablet, smart phone, workbench, iPads, etc.)
Connect clients to the appropriate partners as necessary (e.g. leverage video conference for FA, mortgage specialist, etc.)
Take full ownership of clients' problems to resolve client complaints/issues promptly and effectively to ensure complete client satisfaction with resolution
Recognize transaction needs of clients, direct them to the alternative self-service channels and provide assistance with self-service as needed
Educate clients on self-service capabilities and encourage use of digital service channels (e.g. Online, Mobile, ATM, TCR, Teller Assist Unit, if applicable, etc.)
Exercises ownership and ensure all follow-up items are complete or handled off to the appropriate individual(s) and work harmoniously with multiple team members
Engage the Citi client by welcoming them with a warm friendly smile, pleasant demeanor, using the client name, whenever possible, and thanking them for doing business with Citi
Executes financial transactions in accordance with bank policies and procedures while maintaining an acceptable record in daily drawer balancing
Listens carefully to the client and willingly assists with any questions or problems the client has
Makes sure all needs are met before concluding the transaction, making the client feel his/her time is being valued without being rushed
Shows initiative, empathy and proactively prevents and handles problems with clients while assisting other tellers as well
Create a warm, welcoming and friendly environment for customers and employees by foster teamwork in the branch to ensure a positive overall customer experience.
Effectively executes all service transactions (e.g. deposits, payments, address changes, replacement card orders, disputes, etc.) and sales (including opening accounts, credit cards, etc.) referral routines to deepen client relationships
Adheres to and comply with Citibank policies, standards, operational controls, including legal, corporate, and regulatory procedures to ensure the safety and security of customer and bank assets
Qualifications:

Description:
Responsible for handling basic transactions for customers in a friendly and efficient manner, in conformance with the established policies and procedures. Also responsible for maintaining and balancing a teller window, providing high quality customer service and cross selling Bank products and services.
Essential duties and responsibilities:
Represents the Bank to customers in a courteous, professional manner

Requirements:
