About The Role
Medical records are the foundation of every case, and your leadership ensures they are a powerful litigation tool. As the Lead Medical Records Paralegal, you'll be both player and coach-leading a team of Medical Records Paralegals while balancing leadership with individual casework. Your expertise will directly impact case outcomes, ensuring attorneys have the critical medical documentation they need, when they need it.
Beyond casework, you'll remove obstacles for your team, drive process improvements, and enhance efficiency to keep medical records operations running seamlessly. Your leadership and problem-solving will directly contribute to the firm's continued growth and success.
Responsibilities
Lead a team of 4 - 7 medical records paralegals, ensuring efficiency, accuracy, and adherence to firm protocols
Embody firm values and culture while exemplifying professionalism, collaboration, and excellence in both leadership and work product
Track and assess team output, including task completion, work quality, compliance, and billable hours, ensuring alignment with firm standards
Identify workflow inefficiencies, propose improvements, and implement solutions to enhance productivity and streamline processes
Refine standard operating procedures (SOPs) for requesting, tracking, and summarizing medical records to improve consistency and efficiency
Handle all aspects of personnel management, including hiring, training, time and coverage oversight, performance appraisal, engagement, and disciplinary actions, up to and including terminations
Act as a resource for paralegals navigating record-related delays and challenges, stepping in to remove obstacles and prevent disruptions to workflows as necessary
Work closely with record retrieval vendors to ensure timely, complete, and cost-effective delivery of records
Collaborate with Senior Associate Attorneys, Lead Litigation Paralegals, and/or HRBPs to address personnel conflicts, foster a cohesive and productive work environment, and ensure smooth communication across teams
Review attorneys' calendars weekly to identify upcoming depositions, mediations, and trials and ensure all necessary files and records are prepared in advance
Request a variety of documents, including medical, insurance, pharmacy, and other health-related non-party records
Monitor non-party request timelines closely and follow up as needed to ensure timely receipt of documents
Draft and file court documents, including Certificates of Service and Motions to Compel
Summarize medical records, identifying key details such as accident descriptions, injuries, pre-existing conditions, and inconsistencies
Prepare medical timelines to provide attorneys with a clear picture of treatment history
Secure and coordinate medical expert witnesses, confirming authority with claims representatives, conducting conflict checks, and completing administrative tasks
Communicate key findings to attorneys and adjust records requests based on new information
Process invoices according to firm and carrier standards
Update and maintain the case management system with received records, invoices, and notes
Organize certifications, imaging discs, and flash drives for trial preparation and expert reviews
Ensure compliance with HIPAA regulations and firm policies when handling sensitive records
Coordinate with opposing counsel regarding non-party records and shared document requests
Maintain an annual billable hour requirement of 1,375 while balancing leadership and individual contributor responsibilities

At the Cruelty Recovery Center (CRC) in Columbus, Ohio, a dedicated team of sheltering, veterinary and animal behavior staff work together to serve animals rescued in ASPCA national cruelty cases and disaster responses. This team works closely with the ASPCA's National Field Response (NFR), Veterinary Forensics, Legal Advocacy & Investigations (LAI), Behavioral Sciences (BST) and Shelter Medicine Services (SMS) teams to ensure well-coordinated operations and high-quality, holistic care for animal victims of neglect, abuse and natural disasters. The CRC team also provides care for animals housed in ASPCA temporary field shelters.
The Registered Veterinary Technician, (RVT) is a trained and licensed veterinary technician who partners with veterinarians and other colleagues to deliver top-notch veterinary care. The RVT will deliver compassionate nursing care and assist the CRC veterinarians with examinations, treatments, and diagnostic testing procedures, always following low-stress handling principles and shelter medicine best practices.
This role will also assist the Veterinary Forensics team as needed, facilitating examinations and evidence collection for animal cruelty cases. The RVT will divide his or her time between hands-on work with sheltered animals at the CRC facility and supporting animals in foster care and field operations work, based on current team needs.
Responsibilities:
Responsibilities include but are not limited to:
Nursing Care and Veterinary Support (65%):
* Provide compassionate and quality patient care, utilizing low-stress handling techniques
* Proficient technical nursing skills, including but not limited to: venipuncture, catheter placement, intubation, diagnostic testing procedures and obtaining radiographs
* Perform basic examinations and triage
* Prepare samples for submission to outside laboratories and follow-up as needed
* Assist and perform CPCR
* Proficient in pharmacology; administration of oral, topical and injectable medications

* Participate in daily medical rounds of all animals in the shelter and regularly participate in Medical, Behavior, Sheltering (MBS) population rounds

* Observe animals closely for signs of illness, injury, and/or poor medical welfare; document and communicate this information on monitoring sheets, in patient medical records, and/or directly to medical team members
* Assist with humane euthanasia following disposition decisions and/or in event of urgent medical need
* Ensure medical areas are kept clean, organized, and ready for use
* Perform or be willing to be trained to perform dental cleanings and radiographs
* Adept in administering and monitoring inhalation anesthesia
* Transport patients off-site for appointments

Compensation and Benefits:
Starting pay for the successful applicant will depend on a variety of factors, including but not limited to education, training, experience, location, business needs, internal equity, market demands or budgeted amount for the role. The target hiring range is for new hire offers only, and staff compensation may increase beyond the maximum hiring range based on performance over time. The maximum of the hiring range is reserved for candidates with the highest qualifications and relevant experience. The expected hiring salary range for this role is set forth below and may be modified in the future.

The Importance of the Role
The Veterinary Technician will collaborate with the Senior Veterinary Technicians and Vivarium team to support animal welfare within the Gene Therapy Center of Excellence. The Veterinary Technician will work under the guidance of the Senior Veterinary Technicians to perform treatments and rodent care as required for study and colony management. They will need to demonstrate proficient technical skills, including multiple site injections, proficient rodent handling, and ability to recognize and identify rodent health concerns. All aspects of this position expose personnel to animal fur and dander.
The Opportunity to Make a Difference
Perform all related duties assigned, to include backup duties for Lab Animal Technician position
Lead on assigned studies
Multiple injection techniques including IV, IM, IP, SQ, RO, TFV
Blood collection techniques
Monitor and perform treatments within the animal facility in collaboration with Veterinarian
Follow and draft standard operating procedures for techniques and procedures per GLP guidelines
Peer QC
Communicating regularly with study directors and vivarium team
Maintain appropriate record keeping per GLP and animal welfare guidelines
Operate equipment and use supplies according to safety guidelines
Work on rotating weekend/holiday schedule
More about You
LAT is strongly preferred or achieve certification status within 6 months, or RVT
2 to 4 years of related experience in laboratory animal field
High School diploma or equivalent
Ability to lift up to 50 pounds
Dexterity of physical condition to operate all job duties; lift and move objects regularly throughout the shift.
Work in a standing position requiring bending and stretching of arms and legs throughout regular work shift.
Must avoid contact with rodent species outside of work.

The ASPCA Animal Poison Control Center (APCC) is the leading animal poison control call center in the nation. The APCC's professional team supports veterinarians and pet owners 24/7 using a proprietary database containing over four million cases. The Center is committed to protecting and improving the lives of animals through promotion of poison prevention and publication of new findings. The APCC helps over 400,000 animals annually.
The Certified Veterinary Technician (CVT) systematically gains toxicology knowledge through the APCC's staged training and mentoring process. The CVT plays a critical role at the APCC as the first point of contact for pet owners who need assistance with pets that have been exposed to potentially dangerous substances. The environment is team oriented and supportive to set CVTs up for success in this fast paced and challenging position. Our CVTs obtain a complete history, document exposure circumstances in the electronic medical record, calculate dosages, and use in-house protocols to either manage cases or to escalate cases to a veterinarian for further management. The CVT participates in other projects and events that are established to support APCC work, further education, and enhance communication within the ASPCA.

This is a regional remote position. Candidate must reside within 350 miles of the ASPCA Office in Champaign, IL and be available for travel to Champaign, IL.

Responsibilities:
Responsibilities include, but are not limited to:
Case Management (90%)
Professionally manage medical cases initiated by telephone, email, and other electronic means from practicing veterinarians, animal owners, and others, involving animals that have potentially exposed to deleterious agents or diseases.
Obtain complete case histories and provide detailed and accurate diagnostic and treatment recommendations appropriate to the professional level of the caller and based on established APCC protocols.
Enter (type-in) information into the electronic record efficiently and accurately as conveyed during communications with caller and consultations with APCC DVMs.
Document exposures and risks, and relay detailed treatment recommendations per protocols and verbal instructions.
Create follow up actions to have records evaluated and closed by appropriate personnel.
Utilize ASPCA/APCC resources to manage cases and access protocols, policies, and procedures.
Maintain excellence in customer service and high medical record quality levels. Respond to quality assessments provided by quality assurance and management staff. Meet case management quality, customer service, and volume metric goals as set for specific levels of tenure.
Consult the on-site experts, managers, and senior staff as needed for additional case-management information.
Complete follow up phone calls to pet owners and veterinary clinics as needed to obtain additional information regarding outcomes on specific cases.
Training, Professional Development, and Supporting Opportunities (up to 10 %)
Actively participate in on-site, off-site and virtual training, including attendance at monthly support staff rounds.
Assist in supportive activities which may include development of protocols for the medical library database, contributions to APCC blog posts on toxicology related topics, participation in the staff mentorship program, and assistance with special projects as needed.
May be assigned to other duties as necessary.

Additional Information
Staff will work daytime hours during their initial training and will be moved to later shifts incrementally, following the training schedule. Once training is complete, this position will begin as an evening or late evening shift, with shifts starting at 5p CT or later. Eligibility for earlier shifts is based on seniority. Shifts are subject to change at/in the sole discretion of the ASPCA.
This is a regional remote position. Candidate must reside within 250 miles of the ASPCA Midwest Office in Champaign, IL.
Up to 20% travel may be required, as this position requires occasional on-site training and support.
Veterinary Technician credentials (required) in the state of residence, i.e., CVT, LVT, RVT. Must obtain CVT credentials in Illinois within one year of hire.
Compensation and Benefits
The applicable target hiring range for this remote role is based on where the employee works, which for remote roles is the employee's primary location of residence, and its respective cost of labor. We have organized the U.S. varying costs of labor index into three geographic zones. As a point of reference, we've included our ASPCA locations by geographic zone to illustrate what the hiring range would be in each of the following areas.
Starting pay for the successful applicant will depend on a variety of factors, including but not limited to education, training, experience, location, business needs, internal equity, market demands or budgeted amount for the role. The target hiring range is for new hire offers only, and staff compensation may increase beyond the maximum hiring range based on performance over time. The maximum of the hiring range is reserved for candidates with the highest qualifications and relevant experience. The expected hiring salary ranges for this role are set forth below and may be modified in the future.
Zone 1 (For example, Champaign, IL; Union, MO): $24.50 - $26.90 per hour
Zone 2 (For example, Chicago, IL): $26.70 - $29.10 per hour
